For your account/membership
To use our loyalty program, our program - corporate (reserved for businesses), your membership in our association (reserved for hoteliers), you must have an Account on www.contact-hotel.com, published by Contact Hôtel.
Contact Hôtel collects all the personal data that you provide when creating your account on www.contact-hotel.com, namely your surname, first name, postal address, your mobile number and your email address, and potentially your title, date of birth and your telephone number.

When you contact our customer support, we may collect:
- your email address if you send us an email and/or your name, first name, address and potentially, telephone and fax number if you send us a form;
- the content of the messages you send to us, by email, form or via our customer support chat. (We may also collect technical data about your internet connection, your browser and your devices).
Data we collect automatically through your use of our services
2 - Use of your data
Based on the performance of the contract between us, we use your data to provide you with our services, and in particular:
- ensure the completion of your reservation,
- ensure the use of our loyalty program,
- answer your customer support questions,
- sell items on our online store,
- detect possible bugs and maintain the stability of our service.
Based on our legitimate interest, we use your data to:
- carry out marketing statistics and analyses, in order to understand how you use our services;
- improve your user experience, including by sending you questionnaires and surveys;
- combat fraud; in particular, we may process your account and payment data automatically as part of your transactions. This processing may result in your transaction being automatically blocked.
We may, with your consent:
- to invite you to participate in online surveys from time to time;
- send you commercial and/or promotional offers, originating only from Contact Hôtel.
No sale of database to third party companies is made by Contact Hotel. We do not share your personal data with our third party partners without your consent.
Finally, we may process your data for evidentiary purposes and to comply with our legal obligations.
3 - Recipients of the data
The data we collect is accessible to our service providers, acting as subcontractors, which contribute administratively and technically to the achievement of the purposes referred to above (hosting provider, payment provider, advertising technology, etc.)
In this context, the data we collect may be transferred outside the European Union. In this case, we ensure that this transfer is carried out in compliance with the legislation on the transfer of personal data and in particular, that a sufficient level of protection of your personal data is guaranteed.
In order to comply with our legal obligations, your personal data may also be transmitted to: authorized administrative and judicial authorities, only upon judicial requisition.
4 - Data controller
Contact Hôtel is exclusively responsible for processing the personal data of its users.
Hotel Contact, registered with the RCS of Troyes under SIREN number 407 535 137, with its head office at 2 rue de Preize, 10 000 Troyes, represented by Mr. Thomas Richard, in his capacity as President, is responsible for processing the data it collects.
Contact Hôtel processes your data for the purposes of ensuring the execution of the aforementioned Services, the management of the relationship and billing with its customers. It also processes this data within the framework of its legitimate interest in soliciting you again for commercial offers, and to pursue statistical purposes and improvement of its user experience.
5 - Retention period
The retention period of your personal data varies depending on the purpose of their collection:
- Customer data relating to reservation management is kept for three years from the end of the commercial relationship.
- Customer data for the purposes of loyalty program management is retained for the entire duration of membership in the loyalty program.
- Data relating to the management of partners and business accounts (corporate) are kept for a period of five years from their deletion, exclusively for evidentiary purposes.
- Data relating to your use of the service is kept for twelve months from the activity which generated its collection.
- Accounting documents and records are kept for ten years as accounting proof.
- Your bank card details are kept by our service provider for thirty days after the check out of the customer. The cryptogram of your bank card is not stored by our services.
- Data that may be subject to a judicial requisition (connection data, identity, contact details, transaction data) are kept for twelve months from the date of collection.
- The data of member hotels is kept for the entire duration of membership. This data is kept for ten years after withdrawal from the association.
6 - Your rights
In accordance with the regulations on personal data, and in particular Law No. 78-17 of January 6, 1978, amended by Law No. 2002-801 of August 6, 2004, known as the “Data Protection” law, and the European Data Protection Regulation No. 2016/670, known as the “GDPR”, you have the following rights regarding your personal data:
- Access: This is your right to obtain confirmation as to whether or not your data is being processed, and if so, to access that data.
- Rectification: this is your right to obtain, as soon as possible, that your inaccurate data be rectified, and that your incomplete data be completed. You can also, at any time, modify the personal data on the "My Info" tab of your customer area, or write to the Contact Hôtel Headquarters for member hoteliers.
- Deletion/Erasure: This is your right to obtain, as soon as possible, the erasure of your data.
- Limitation: this is your right to obtain the limitation of processing when you object to it, when you contest the accuracy of your data, when you believe that their processing is unlawful, or when you need it for the establishment, exercise or defense of your rights in court.
- Opposition: this is your right to object at any time to the processing of your data by Contact Hôtel, when this is necessary for the purposes of Contact Hôtel's legitimate interests. You can also object to processing carried out for prospecting purposes.
- Portability: This is your right to receive your data in a structured, commonly used, machine-readable and interoperable format and to transmit it to another controller without hindrance from us.
- You have the right to lodge a complaint with a supervisory authority.
- You have the right to give instructions on the fate of your personal data in the event of death.
- Policy related to telephone canvassing: We inform you of your right to register on the opt-out list for telephone canvassing and suggest that you register on Bloctel. Bloctel is the opt-out list for telephone canvassing on which any consumer can register for free in order to no longer be telephone canvassed by a professional with whom they do not have an ongoing contractual relationship, in accordance with Law No. 2014-344 of March 17, 2014 relating to consumption. The law specifies that it is prohibited for any professional, directly or through a third party acting on their behalf, to telephone canvass a consumer registered on this list, with the exception of the cases listed by law.

8 - Security of your data
We protect your information using physical, electronic and administrative security measures. Our safeguards include firewalls, organizational measures (such as a login/password system, physical safeguards, etc.).
When you transmit your credit card information during your reservation, SSL encryption technology (Secure Socket Layer) helps secure your transactions. Our partner in charge of managing reservations is PCI DSS certified (Payment Card Industry Data Security Standard) data security standards applicable to the payment card industry. This PCI DSS standard aims to reduce online fraud.
